Summary of Duties

As an ODDS Executive Support Specialist, you will:

  • Provide secretarial support for the Director and administrators of the Office of Developmental Disabilities Services.
  • Transcribe dictation of confidential, technical, or legal information.
  • Research information and composes correspondence, reports, memos and other documents.
  • Maintain supervisor's calendar and advises supervisor of commitments.
  • Make arrangements for meetings and special conferences, arrange travel itinerary and accommodations, prepare and submit travel and expense claims.
  • Serve as communication link between administrative superior and agency staff, Governor's office, legislative staff, other OHS and State agency directors or their staff, Federal government personnel, and/or the public.
  • Compile information used in the preparation for the biennial budget hearings.
  • Perform session and interim legislative tracking activities.
Minimum Qualifications
  • One year of experience performing administrative duties in support of agency projects or programs. Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.
Essential Attributes

  • Experience using discretion in handling confidential information (example: credit card information; employment information, personal information, sensitive records, etc.).
  • Experience composing meeting minutes, reports, memos and other documents that clearly breakdown complex information.
  • Experience maintaining business calendars, planning for meetings and special conferences.
  • Experience arranging travel itinerary and accommodations and submitting travel and expense claims.
  • Proven ability to clearly explain rules, procedures, and complex information to customers in person or over the phone, ensuring understanding, resolving concerns, and promoting a positive and professional customer service experience.

Working Conditions
  • Your typical work schedule will be Monday - Friday, 8:00 a.m. - 5:00 p.m. Pacific Standard Time (PST).
  • Your work will have a Hybrid work format that includes, office work, and some work that can be conducted remotely. Working at an alternate location for up to two (2) days per week will be considered in filling this position. You will need to report to our office in Salem a minimum of three (3) days per week.
  • Travel: Some travel may be necessary for trainings, meetings, or office-related coverage. Employees using a personal or state vehicle must hold a valid driver's license; otherwise, they must be able to arrange appropriate transportation.
  • Work in a high-pressure setting with priorities established by the manager.
  • Work on multiple projects simultaneously with changing timelines and requirements.
  • Work closely with individuals with differing backgrounds and be in proximity of people with severe or profound disabilities who receive services from the Division.
  • Effectively gather information required to complete assigned projects.
  • Respond effectively to verbal instructions, cope with frequent interruptions and moderate noise levels.
  • May work evenings or nights, or on occasions, extended nonstandard work schedules.

  • The Oregon Department of Human Services does not offer visa sponsorship.   • The salary range listed is the non-PERS monthly salary range. If you are already a participating PERS member or once you become PERS eligible, the salary range will increase by 6.95%.
