Summary:

The IT Project Specialist supports the planning, coordination, and delivery of information technology projects. Their job involves balancing and ensuring scope, schedules and budgets are aligned, while tracking and adjusting to risks, and effectively communicating, with resources or stakeholders as necessary. This is an entry level project management role to keep IT initiatives moving forward, with strong organization, communication and problem solving skills.

Responsibilities:

  • Manage day-to-day project activities, schedules, and deliverables across multiple IT initiatives.
  • Assist PMO and department managers with planning, executing, documentation, and reporting of organization projects.
  • Identify and track changes, risks or delays, and escalate issues when needed.
  • Maintain project documentation including requirements, timelines, meeting notes, and status reports.
  • Identify resource allocation, task assignments, assist controlling project cost, requirements gathering and help translating business needs into technical tasks.
  • Organize and lead project meetings, prepare agendas, distribute follow up actions.
  • Facilitate communication between technical teams, vendors, and business stakeholders.
  • Ensure project standards, processes, and best practices are followed to deliver projects on time, within scope aligned with organizational goals.
  • Assist with testing coordination, deployment planning, organization change management, and post implementation reviews and documentation.
  • Maintain project management tools, PMIS and dashboards.
  • Uphold the company's drug-free, tobacco-free, and nicotine-free policies within the workplace.
  • Perform all other duties as assigned.
Experience/Qualifications:
  • Minimum 1-3 years of experience in project coordination, IT support, or related roles.
  • Experience working in an IT department or technology driven environment preferred.
  • Experience coordinating vendor relationships or external partners preferred.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Familiarity with project management methodologies (Agile, Waterfall, or hybrid).
  • Proficiency with PMIS, project management, and collaboration tools.
  • Ability to work with cross functional teams and manage competing priorities.
  • Basic understanding of IT systems, software development, and infrastructure concepts.
  • Knowledge of change management processes preferred.
  • Ability to lift 25 lbs. frequently and 50 lbs. infrequently.
  • Must be able to legally work in the USA.
Education and Certification(s)/License(s):
  • Bachelor's degree in Information Technology, Business, Computer Science, or related field (or equivalent experience).
  • Project management certification (CAPM, PMP, Scrum Master, ITIL, etc.), or in progress within a year to complete is preferred.
