We are seeking a Freelance Trip Director with strong logistical skills, who thrives in a fast-paced environment, works equally well on a team and independently. This individual will demonstrate strong ownership of projects, logistical prowess, original thinking, sharp execution to execute and support successful programs. This go-getter has experience managing budgets, communicating with stakeholders, managing vendors and is always detail oriented. Remote full time, or if located in NY or LA- some in office time.
Plan, coordinate, and manage successful, on-budget experiences, corporate meetings, presentations, hospitality and executive engagement programs, and other as-needed engagements.
Strong experience in logistics for registration, air and ground transportation, and room block management with the ability to manage rooming lists and travel manifests on own.
Negotiate vendor agreements, manage full event logistics, including food and beverage, rentals, layouts, etc.
Manage the budget reporting process, including event recaps, billing, and debriefs, for all relevant teams and stakeholders.
Manage event playbook, create workback schedules, DACI, invoice tracking, and budget reporting.
Manage rooming lists and hotel communications.
Manage transportation manifests and communications.
Manage and oversee registration workflows.
Communicate clearly and collaborate closely with FED Technology and Design teams, with a basic understanding of technical event needs, graphic specs, and production, to ensure everyone is clear on the overall event scope, planning needs, and strategic goals.
Provide support and guidance as needed throughout the planning process.
Support senior team members on larger-scale events, meetings, and hospitality programs, both domestic and international, as needed.
