Job Purpose:

The Abstract Support role is responsible for assisting with the preparation and processing of abstracts of title for real estate transactions in Iowa. This position supports abstractors and title examiners by retrieving, scanning, organizing, and indexing public records, legal documents, and supporting materials. The Abstract Support team member plays a key role in ensuring accurate and efficient production by maintaining record integrity, meeting deadlines, and supporting abstracting operations.

Key Responsibilities:

  • Retrieve and organize property records and documentation from online county systems or in-person at county offices.
  • Assist in scanning, indexing, and uploading documents into abstracting software and internal databases.
  • Verify the accuracy and completeness of legal descriptions, chain of title, and supporting documents.
  • Perform data entry of legal information, notes, and document references.
  • Maintain organized electronic and physical filing systems for abstracts and supporting materials.
  • Collaborate with abstractors, title examiners, and managers to meet production deadlines.
  • Monitor shared inboxes, respond to internal document requests, and support customer service efforts.
  • Prepare packets or portions of abstract products as instructed by the Abstract Manager.
  • Travel to courthouse offices as needed to pick up or drop off records.
Requirements

Job Requirements:

Education & Experience:
  • High school diploma or equivalent required.
  • Prior experience in a title company, abstracting office, or legal setting preferred but not required.
  • Familiarity with legal descriptions, land records, or real estate documents is a plus.
Skills & Competencies:
  • Strong attention to detail and accuracy.
  • Ability to follow instructions and stay organized while managing multiple tasks.
  • Good communication skills and a team-oriented mindset.
  • Strong time management skills and ability to meet deadlines.
  • Willingness to learn and grow within the title and abstracting industry.
Technical Proficiency:
  • Basic computer proficiency (Microsoft Outlook, Word, Excel).
  • Familiarity with document scanning software and file naming best practices.
  • Experience with abstracting or title production software (e.g., SoftPro, ResWare) is helpful but not required-training will be provided.
Other Requirements:
  • Valid driver's license and reliable transportation may be required for document runs.
  • Ability to sit, stand, or lift light boxes of documents occasionally.
  • Background check required.
