Job Summary

The Documentation Specialist is responsible for creating, managing, and maintaining all necessary documentation related to manufacturing processes, quality control, safety protocols, and other operational procedures within the food manufacturing facility.

This role ensures that all documents are accurate, up-to-date, and in compliance with regulatory standards. The ideal candidate will have a keen eye for detail, strong organizational skills, and the ability to work collaboratively with various departments to ensure seamless document control.

Job Duties:

Duties may include, but are not limited to the following:

  • Develop, write, and edit standard operating procedures (SOPs), work instructions, manuals, and other documents related to food manufacturing processes.
  • Ensure all documents are clearly written, easily understood, and accurately reflect current practices and standards.
  • Maintain a comprehensive and organized filing system for all documents, both electronically and physically.
  • Ensure all documentation complies with industry regulations, company policies, and quality standards.
  • Conduct regular audits of documentation to ensure accuracy, completeness, and adherence to regulatory requirements.
  • Collaborate with the Quality Assurance team to implement changes and updates to documents as needed.
  • Work closely with various departments, including Production, Quality Assurance, Safety, and Engineering, to gather information and ensure accurate documentation.
  • Serve as a point of contact for document-related inquiries and provide support to staff regarding document control procedures.
  • Facilitate training sessions for employees on document control procedures and the proper use of documentation.
  • Identify opportunities for improving documentation processes and systems.
  • Implement best practices for document control and ensure continuous improvement in document management.
  • Stay updated on industry trends, regulatory changes, and advancements in document control technologies.
  • Ability to work in a fast-paced manufacturing environment.
  • Strong problem-solving skills and the ability to handle multiple tasks simultaneously.
  • Commitment to maintaining confidentiality and security of sensitive information.
Minimum Qualifications:
  • 3-6 years' experience in Data Entry
  • Experience with Good Manufacturing Practices (GMPs), Hazard Analysis Critical Control Points (HACCP), SQF all pluses
  • Knowledge around HACCP, ERP knowledge.
  • Strong: interpersonal skills, strive in managing documentation management and control.
  • Exceptional written and verbal communication skills.
  • Proficiency in document management systems and software (e.g., Microsoft Office Suite, Adobe Acrobat, document control software).
  • Strong attention to detail and organizational skills.
  • Ability to work independently and collaboratively in a team environment.
  • Bi-lingual skills are a plus but not required.
